QuickBooks vs Xero vs FreshBooks: Which Accounting Software Fits a Small Business?
For a freelancer or consultant who mostly sends invoices, FreshBooks is the most focused choice. For a small business that wants full bookkeeping and is happy to pay for it, QuickBooks Online has the deepest feature ladder. For a growing team that does not want to pay per user, Xero is the strongest value. The catch with all three is the limit on the cheapest plan, whether that is invoices, clients or users, so check it before you sign up.
The short answer
| QuickBooks Online | Xero | FreshBooks | |
|---|---|---|---|
| Entry paid plan | Simple Start: $38/mo | Early: $27/mo | Lite: $23/mo |
| Free option | Yes: 1 user, 2 invoices/month | No (time-limited promos only) | No (time-limited promos only) |
| Users | 1 to 25, depending on plan | No per-user license fees | $11/mo per added team member |
| Watch out for | Price climbs steeply by tier | Early caps invoices and bills | Plans cap billable clients |
| Best for | Full US bookkeeping | Teams and multi-currency | Freelancers who invoice |

The cheapest plans are capped, and the caps differ
This is where most people get caught. Each entry plan is cheap because it is limited, and each is limited in a different way:
- Xero Early ($27/mo) allows 20 invoices and quotes and 5 bills. A business sending more than about five invoices a week outgrows it immediately.
- FreshBooks Lite ($23/mo) lets you bill 5 clients. Plus ($43/mo) raises that to 50; Premium ($70/mo) is unlimited.
- QuickBooks Simple Start ($38/mo) is for one user (plus two accountant users). Essentials ($85/mo) allows 3 users, Plus ($140/mo) 5 and Advanced ($340/mo) 25.
So the cheapest plan depends on what you have more of: invoices, clients or people. A solo consultant with three retainer clients fits FreshBooks Lite. An agency of eight with one bookkeeper fits Xero better than QuickBooks, which would need its top tier for that many users.
QuickBooks Online: the deepest feature ladder
QuickBooks Online now offers a free plan covering income and expense tracking, 2 invoices a month, a profit and loss report and one bank connection. It suits a side business, not a running company.
The paid ladder adds capability in clear steps. Simple Start adds automated bookkeeping and online payments. Essentials adds enhanced reporting and employee time on invoices. Plus adds budgets, project profitability and inventory. Advanced adds custom permissions, workflow automation and priority support.
The downside is price. At regular rates, moving from Simple Start to Plus takes you from $38 to $140 a month, and plans are priced partly by user count. If your bookkeeper or accountant works in QuickBooks, that familiarity can be worth the premium. Ask them before you choose.
Xero: best value for teams
Xero's US pricing has three plans: Early ($27/mo), Growing ($59/mo) and Established ($97/mo). Xero's pricing page says there are no per-user license fees, which is its biggest structural advantage: adding your co-founder, an assistant and an accountant does not change the bill.
Growing removes Early's tight invoice and bill limits and adds automated bill entry, auto-reconciliation and budgets. Established adds multiple currencies, project time and cost tracking, and expense and mileage claims. That makes it the natural fit for a small business that invoices internationally.
Payroll is an add-on (Xero Payroll, powered by Gusto, at $36 a month plus $6 per employee or contractor), so budget for it if you have staff.
FreshBooks: built around invoicing
FreshBooks is designed for people who bill for their time. Every plan includes invoicing, expense tracking, estimates and card or bank-transfer payments; the tiers are mostly about how many clients you bill and how far you go into proposals and project tracking.
- Lite ($23/mo): 5 billable clients.
- Plus ($43/mo): 50 clients, proposals, retainers, receipt scanning and accountant access.
- Premium ($70/mo): unlimited clients and project profitability.
Additional team members cost $11 a month each, so FreshBooks gets more expensive than Xero as a team grows. For a solo freelancer, though, it is the least complicated of the three.
How to choose
- Solo freelancer or consultant, under 50 clients: FreshBooks Lite or Plus.
- Small team of 3 or more people: Xero Growing; the lack of per-user fees adds up quickly.
- You invoice in several currencies: Xero Established.
- You need inventory or project profitability and your accountant uses QuickBooks: QuickBooks Plus.
- A side project with almost no transactions: QuickBooks' free plan.
Whatever you choose, connect it to the tools you already use for payments and invoicing. If you take card payments in person, see our Square review; for a lean overall setup see the solo founder tool stack.

Frequently asked questions
Is QuickBooks Online free?
There is a free QuickBooks Online plan for one user that tracks income and expenses, sends 2 invoices a month and runs a profit and loss report. Paid plans start with Simple Start at $38 a month (regular price).
Which is cheapest: QuickBooks, Xero or FreshBooks?
On regular list price, FreshBooks Lite ($23/mo) is the cheapest paid entry plan, then Xero Early ($27/mo), then QuickBooks Simple Start ($38/mo). Each entry plan is capped differently, so the cheapest one for you depends on your number of clients, invoices and users.
Does Xero charge per user?
Xero's US pricing page states there are no per-user license fees, which makes it good value for teams.
Is FreshBooks good for a small business with employees?
It works, but each additional team member costs $11 a month, and FreshBooks is built around invoicing rather than full bookkeeping. Growing teams often get better value from Xero.
Should I trust introductory discounts?
Use them, but compare regular prices. All three advertise time-limited discounts; after they end you pay the list price.
Bottom line
FreshBooks is the simplest choice for a freelancer who invoices clients. Xero is the best value once more than one or two people need access, and the only one of the three that handles multiple currencies on a mid-priced plan. QuickBooks Online has the most complete feature ladder and a useful free tier, but its prices rise fastest. Before you commit, compare regular prices rather than promotions and check the cap on the plan you are buying.
